Create an Outlook Rule to Deliver Emails to a Folder.
This example redirects emails being sent to an alternate email address (or alias) for a specific user. A variation could be used to redirect emails sent FROM a specific user.
This situation is for a supervisor / team leader who is receiving external emails from terminated employees and wants to sort them into a specific Outlook folder.
- Create a new folder in your Inbox where you want to messages delivered to. The example below is called ZombieCAT.
- Go the FILE tab in Outlook and select “Manage Rules & Rules.”
- Select “New Rule.” Ignore the top section. Go to the bottom. See step 4.
- At the bottom see “Apply rule on messages I receive” Press Next.
- Select “with specific words in the message header.” MESSAGE HEADER works best when email aliases are in use.
- Click on specific words link and in the Search Text field enter the full address of the employee name or the first and middle initial and last name. Example: [email protected] or simply redroo or redroo@. The reason for this is the full address name WILL appear in the email header, which is why you can use either. Press ADD. Then OK.
- Select Next and select “move it to the specified folder.”
- Select specified folder link.
- Highlight your target folder. Press OK.
Press Next, Next. Give the rule a name.
