Step 1: Determine what authentication option to use
A. Option 1: “Microsoft Authenticator – notification”
a. If you use a smartphone, this is the recommended option
b. You will need to install the Microsoft Authenticator app on your smartphone
c. When prompted for a 2 nd authentication, you will open the app and confirm that the
authentication request came from you.
B. Option 2: “Authentication app or hardware token – code”
a. This is another option for smartphone users
b. You will need an Authenticator app installed (Microsoft, Google, or other brand)
c. When prompted for a 2 nd authentication, you will open the app to obtain a 6 digit code, then enter
that into the logon dialog box to confirm that the authentication request came from you.
C. Option 3: “Phone – text”
a. A cell phone with text service is required.
b. When prompted for a 2 nd authentication, you will receive a text message containing a 6 digit

c. When prompted for a 2 nd authentication, you will receive an email containing a 6 digit code.
Enter that into the logon dialog box to confirm that the authentication request came from you.
Step 2: Register your authentication option
A. Use the following link to register for or check the status of your secondary authentication options:
If you see this displayed, go directly to Step 3
B. You are opening a registration page that is outside of our network so you may be asked to verify your identity by
entering in your company email address and the password you use to log onto your PC.
C. As it is our recommended option, you are asked to install the Microsoft Authenticator application.
a. If you already use another authenticator (like Google Authenticator) you can click “I want to use a
different authenticator app”
b. If you don’t use a smartphone, you can click “I want to set a different method”
c. The pages that follow guide you through registration as you can see from the following screenshots
d. When you see the QR code page, leave it open as it will be used after you’ve installed the authenticator
app.
D. If you don’t already have the Microsoft Authenticator app installed on your smartphone, do this now.
E. When you first open the authenticator application you are asked a few questions.
[Note: You should allow notifications and skip adding a personal account]
F. Next you will add your work account
G. The camera is used to then capture the QR code on your computer screen
The following is a visual example. The needed QR code can be found in the browser window that you have open (step C)
H. You are then asked to test signing into using the app. From your phone app, approve your login.
I. Now hit next and finish to complete the registration and then close the web page.
Step 3: Verify your authentication option
A. Use the following link to check the status of your secondary authentication options:
https://aka.ms/mfasetup
You should see something like the following graphic. The option you chose in Step 1 should be set as the default
sign-in method. If it is, then you have completed this verification and no additional steps are needed. If your
option is not set as the default, continue to Step 3.B.
B. Verify that your option is listed under the “+ Add method” link.
[Note: “Phone – Text” and “Phone – Call” are simply listed as “Phone”]
C. If your option isn’t listed, click the “+ Add method” link to add it.
D. Click the “Change” link and follow the prompts to set your option as the default.
E. Make sure that all options listed are familiar (for example, there shouldn’t be any unknown phone numbers or
email accounts)
What to expect going forward
Once MFA is enforced on your account, you may be prompted to use this 2nd authentication method under certain
circumstances (for example when opening an application from a device outside of the office). The prompts may look
different depending on which application is used, however, what they ask for should remain the same.
From the authenticator app you will be prompted to approve the logon.
